- Use my calendar to schedule a free consultation so I can learn more about your practice needs and discuss how we can work together.
- Complete our questionnaire prior to your consultation. This will help me get started in learning about your practice so I can better personalize the direction of our discovery call to maximize the value of our time together. If you don’t have time to do this, it’s okay, we can go over everything on the call.
- During our call, I will take notes as I listen, to help me in matching you to the right VA for you and your practice.
- After our call, I will send you a follow-up email with more information about us and a proposal for you to complete when you are ready for me to start working on a match for you.
- I start by reaching out to VAs from our current team who I think would be a good fit to confirm their availability. I share your website and my notes to help the VA get a sense of your practice and requested support needs so that they can weigh in on if they also feel like they’d be a good fit.
- My goal is to find the VA with the experience and skillset best suited for your needs, the work style best suited for you, and the personality to fit well within the culture of your practice – a VA who is enthusiastic about representing your practice.
- If I do not find a current team member available, I will look to our current applicants, again keeping you and your practice in mind throughout our hiring process.
- Once I have a Mental Health VA available who I believe to be a great fit, I will send you their resume and feedback from three references to help you get to know them.
- I will ask you for your availability so that we can set-up a video call interview between you and your VA.
- Once you both agree it’s a good fit, we will ask you for your preferred start date, confirm with your new VA, and send out your contract, Business Associate Agreement and first invoice.
- After you start with your VA, I will meet with your VA regularly to support the onboarding process. I am also available to you as well throughout your time working with us!

What sets us apart from other VA agencies
- I only hire VAs who have education and/or work experience in a mental health related field.
- All our VAs are US based.
- I do not charge any onboarding or set-up fees. Everything is included in one monthly fee.
- I personally consult with your VA and you directly throughout your entire time with us to ensure you are happy with the support you receive. I do not charge additional consulting fees.
- I hire VAs interested in part-time work so that they are comfortable working with only a maximum of 3 clients at a time. This increases their connection and attentiveness to your practice.
- I work closely with clients and VAs to find the right fit for both to increase positivity, commitment and longevity.
- I keep our team and clientele at a smaller size than larger agencies so that you receive more personalized attention. I take pride in getting to know and support each client and VA we work with.
Our Hiring Process
We invest a great deal of time and thought into our hiring process. We are looking for candidates who have an intrinsic interest and commitment to the field of mental health, as shown in their education and/or work experience in a mental-health related field. Our VAs’ backgrounds in mental health enhance their sensitivity level in their professional communications with your clients. Strong administrative experience and skills are equally important in our search as this is an administrative role.
- Candidates submit detailed applications and resumes.
- Multiple interviews by video call with myself and my assistant.
- 3 professional references are checked.
- Background check for identity verification and criminal history.
- After signing a contract with us, we provide our VAs with a course in HIPAA Awareness for Mental Health, where they take a quiz to earn a certificate that is shared with you.
- We offer a contract to our most successful candidates and provide training and support throughout their work with our clients, including Best HIPAA Practices and how to set-up their workspace for success and confidentiality.
